There are significant details to consider before you book your wedding venue. Just because a place sounds perfect does not necessarily mean it will be the ideal choice for you. Here are some key factors you need to ask about before signing a contract or paying for the location.

How many guests you are inviting?

Knowing how many guests you are inviting to your wedding is a big factor in choosing which venue will be right for you. When you call to talk about booking your venue, the first question they will ask is how many will be attending the wedding. While you may not need an exact number, you should hopefully have a close approximation. This will help determine whether the venue will be able to accommodate your wedding.

Even though you are planning one of the biggest days of your life, you’ll want to take into consideration any special needs your guests have. For example, if you are inviting a guest that requires wheelchair access, you will want to make sure it is available.

Availability and rates

The most important question to ask before setting your heart on the wedding venue of your choice is if the location is available. Other things to consider are whether you’ll be on a waiting list, if dates and rates are guaranteed, and how far in advance you should book. If you don’t have a specific date set, checking for seasonal prices could help you narrow down your options.

Hours and extra charges

Checking how many hours are included in the rental can be vital. You’ll need to know how early you can arrive and how late you can stay. Also check to see if you will be charged extra if you go over the specified time, and then how much those fees are. Another thing to consider is whether your wedding is the only one scheduled for that date, as this can affect your set-up and take-down times. Your best option may be to book the venue for the whole day to ensure the area and staff are completely focused on your event.

Payments and cancellation policies

Most wedding venues will allow you to make a deposit to hold a date. Check to see if making a deposit is acceptable or if paying the balance in full is better. If you are unable to pay the full amount at one time, ask if making multiple payments is an option. You should also know up front if the quoted price includes all service charges, including cleaning fees and gratuity, or if there will be any additional charges.

Asking about the wedding venue’s cancellation policy is important, especially if an event that would require postponing or canceling your plans arises. You should know how far in advance you can either change the dates or cancel altogether, and if there are any fees involved with the changes.

Planning a visit

Planning a visit is a crucial part of knowing if you will like a wedding venue. You’ll want to consider the time of year, time of day, and also if another wedding will be going on when you visit. If you can’t make it there in the same season you would like, consider asking for photos of the area that were taken in that time-frame. This will help you know how the venue will look, the way the light will flow through the area, and how the staff handles events. Bringing someone with you is a great help as well. A second set of eyes will always see something you may not.
